How we collect, use and process your data.
In order to operate this site UKPas.co.uk collects and processes personal data relating to Personal Assistants and users seeking Personal Assistants. UKPas.co.uk is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.
What information does UKPas.co.uk collect?
UKPas.co.uk collects a range of information about you. This includes:
- Your full name
- Your email address
- Your choice of password to use with the site
Optionally, you may provide us with:
- A profile picture
- A display name
- A bio ("About me")
- Your hourly rate (PAs only)
- Whether you are a smoker or not (PAs only)
- Whether you hold a valid driving licence or not (PAs only)
- Your availability (PAs only)
- Services offered (PAs only)
- Your location and the distance you are willing to travel (PAs only)
- Your message notification preferences
- Your vacancy alert preferences (PAs only)
- Your application notification preferences (clients only)
- Records of which of our training modules you have completed
- Messages between you and other site users
- Messages between you and UKPAs.co.uk
- Vacancy postings (clients only)
- Any forum posts you create or contribute to
- Any comments that you make on our blog posts
As a PA, you can specify "Make Profile Public" in your user area. This makes your profile appear to the public (i.e. users who logged in and who are NOT logged in).
As a CLIENT, you can specify "Make Profile Public" in your user area. This makes your profile appear to logged in users.
Both PAs and Clients are in control of their information which can be edited by logging into the user area.
Additionally, both PAs and Clients can contact us and request that we delete their account which will remove all of the above data except for any comments you have made on our blog posts. If you wish to also remove any comments, you will need to contact us with the URL of the post on which your comment appears.
All of the above information is stored on our servers.
Please note that any payment information (PAs) is collected and stored by Stripe, a third party payment processing service. We will never ask for your payment information.
Cookies
In addition we use cookies. A cookie is a small piece of text sent to your browser by a website you visit. It helps the website to remember information about your visit, like your preferred language and other settings. That can make your next visit easier and the site more useful to you. Cookies play an important role. Without them, using the web would be a much more frustrating experience. Why does UKPas.co.uk process personal data?
Your name, email address and choice of password is collected and stored to allow us to identify you when using the website.
All other information identified above is collected and stored to faciliate use of our website.
UKPas.co.uk has a legitimate interest in processing personal data during and after the sign up process and for keeping records of the process. Obtaining and storing this information allows you to use the features of our website.
How is the data used?
Storage of your data allows you to operate an account on UKPAs.co.uk, to log in and out of the site and perform functions based on your user role (PA or Client).
When you first register for the website, we will send you an email to confirm sign up.
By default, all emails notifications are OFF. When you sign up, you will have the option to change this preference. If you opt into notifications, you will receive emails from us relating to events on the website, such as when another user messages you. You can change your mind and turn these notifications off from your account area at any stage.
We will only send you marketing information if you have opted in by checking the box which says "Send me updates and offers relating to the UK PAs website" when you register.
Who has access to data?
Your information may be shared internally for the purposes of assisting you with use of the website or analysing how users navigate and use the website. This includes managers of the business, IT staff, training staff who prepare and update the training materials, email and phone support staff who may provide you with guidance and help to identify issues, and all other internal staff who the data is necessary for the performance of their roles.
UKPas.co.uk will not share your data with third parties, unless required to do so by law.
UKPas.co.uk will not transfer your data outside the European Economic Area.
How does UKPas.co.uk protect data?
UKPas.co.uk takes the security of your data seriously. It has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties. Our website is hosted with Vidahost, a reliable and respected provider of hosting services, and data is transmitted over the web using a secure (https) connection.
For how long does UKPas.co.uk keep data?
Your data will be maintained on the website until you delete it, or until you request that we delete your account.
Your rights
As a data subject, you have a number of rights. You can:
- access and obtain a copy of your data on request
- require UKPas.co.uk to change incorrect or incomplete data
- require UKPas.co.uk to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing; and

What if you do not provide personal data?
